Alerts in Parallel help you keep track of key dates in your workflows so nothing slips through the cracks. Here's a simple explanation of how they work and how to get the most out of them.

⏰ What are alerts?

Alerts are automatic notifications that let you know when an important date is coming up (for example, when a document expires or a KYC needs to be renewed), or when you have a new result in your background check fields.

Where can I see them?

You can view all your active alerts in the Alerts panel on the platform. You'll see two tabs:

  • Expirations: alerts tied to dates, such as the expiration of ID documents or a KYC refresh.

  • Monitoring: alerts tied to list searches that are pending review or that have generated new results.

Click any alert to go straight to the associated profile and review the details.

Within a profile, if a field has an alert, you'll see an alarm icon (⏰) next to it, and the corresponding date will appear in red.

How are alerts set up?

To add or edit an alert's settings, you need permission to manage profile types. If you don't have it, contact an administrator in your organization.

That said, if alerts are already set up, you can use them as follows:

  • In profiles, when you upload an attached document to a field that has alerts defined, a window will open automatically so you can add the expiration date. If it's a date field, such as "KYC refresh date," that date will already act as the expiration date.

  • In parallels, when you close a KYC, you'll be prompted to add an expiration date for the document if any fields have alerts configured.

What happens when a date is due?

When the deadline is reached or approaching:

  • The field is marked as expired or due soon, both in the profile and in the Alerts section.

  • The alert won't go away until you update the date. You can do this by uploading a new document with a renewed date or by starting the KYC refresh with a new date assigned.

In addition, every Monday you'll receive an email with all your active alerts, so notifications don't pile up in your inbox.

How do I know which profiles I'll get alerts for?

You'll only receive alerts for the profiles you're subscribed to. You can manage your subscriptions easily from the profile list:

  1. Select the profiles you're interested in.

  2. Click "Subscribe."

  3. In the pop-up window, you can turn your subscription on or off with a single click.

If at any point you decide to stop receiving alerts about a profile, just repeat the process and select "Unsubscribe." That way, you'll only get notifications about what really matters to you.
