The Portal allows you to send the same parallel form to multiple recipients at the same time, each with its corresponding information and documentation.
For example: Sending a KYC refresh or a capital call to all the investors linked to your Portal.
Instead of creating and sending each parallel individually, you can use the "Create from Excel" function to generate and send all parallels in a single flow.

How It Works — Overview
The process follows three main phases:
Configure: Select the template and the profiles you want to send the parallel to.
Fill out the Excel: Download the pre-filled Excel file, complete any missing information, and upload it back.
Send: Upload any referenced documents and trigger the mass send.
Step-by-Step Guide
Step 1 — Check Your Profiles and Accesses
Before starting, make sure all the profiles you want to send the parallel to are already added to your Portal under "Profiles and accesses".
In this example, the portal has 3 investor profiles: 2 companies and 1 individual. The users with access for each profile will receive the parallel. |
Step 2 — Open the "Create from Excel" Flow
Go to the Portal tab. Click the dropdown arrow next to the "New parallel" button and select "Create from Excel".
Step 3 — Select the Template and Profiles
A dialog will open. You need to:
Select the template you want to use for this mass send.
Select the profiles you want to include. You can filter by Companies or Individuals, or select all at once.
Click Continue when done.
Step 4 — Map Profile Types to Template Groups
This step only appears when the template has more than one group associated with the same profile type. The system needs to know which template group corresponds to each profile type because this determines how the Excel will be pre-filled with your profiles' existing data.
In this example:
For companies: select the group that represents the main investor entity.
For individuals: select the group that represents the main investor (not UBOs or legal representatives, those are handled in separate tabs of the Excel).
Once done, click Continue.
Step 5 — Download and Fill Out the Excel
You will land on the Excel download/upload step. First, download the Excel file, it will already be pre-filled with the information from your profiles.
The Excel mirrors the structure of your template. Here is what you will find:
The "Data" Tab
This is the main tab. It contains one row per profile, i.e., one row per parallel that will be created.
The grey columns (Profile ID, Profile Type, Profile Name) are locked, do not modify them.
The remaining columns correspond to template fields not linked to any profile group. Fill these in as needed.
Fields with a dropdown will show the available options when you click on the cell.
Profile Group Tabs (e.g., '3 - Investor Individual', '4 - Investor Entity')
These tabs contain information pulled directly from your profiles. They are pre-filled with everything already stored in Parallel. You can complete any empty field with additional information as needed.
If a field had a document attached, you will see a reference code followed by the document name — do not modify these cells. The parallel will automatically include the document from the profile.
Secondary Profile Group Tabs (e.g., '6 - UBO', '7 - Legal representative')
If your template includes groups for secondary profiles such as UBOs or legal representatives, they will appear in their own tabs. Each row represents one secondary profile. Since a single company can have multiple UBOs, there may be several rows referencing the same company (same Main Profile ID in column A).
You can fill out any necessary information in the existing rows or you can also add new rows. To do so:
• Copy the Main Profile ID from the Data tab (column A).
• Add the new profile's information in the following columns.
• If you need to attach a document, enter the exact filename including the extension (e.g., id_new.png). At a later stage, you will prompted to upload the actual file.
💡 Important: If you use the same file name in multiple cells, the same document will be uploaded to each of those cells. For example, if you enter doc.pdf in several cells, that file will be uploaded multiple times across the corresponding fields.
If you want to upload a different document to each cell, make sure to use unique file names, such as: doc1.pdf, doc2.pdf, or doc_surname.pdf. This ensures that each cell is linked to the correct document. |
Other Additional Group Tabs
Some templates include extra groups for supplementary information about the profile itself (e.g., activity data, origin of fund fields). These follow the same structure: one row per profile, with the Main Profile ID in the first column.
The 'Instructions' Tab
The last tab contains formatting guidelines for the Excel — particularly for date formats and country codes. Review it before filling in the file to avoid validation errors.
Step 6 — Upload the Excel Back
Once you have filled out the Excel, drag and drop it into the upload area in Parallel. If the file contains any formatting errors, the system will list them so you can correct them and re-upload.
Fix the issues in the Excel, save, and upload again. Once the file passes validation, you will see a confirmation.
Step 7 — Upload Referenced Documents
If your Excel references document filenames that you have manually added, the system will display a list of all files it expects to receive. Drag and drop the files into the upload area. The filenames must match exactly what is written in the Excel, including the extension.

Once all files are uploaded, each one will show a green 'Uploaded' status and the progress bar will reach 100%. The "Send X parallels" button will become active once all required documents are ready.
Step 8 — Send the Parallels
Click "Send X parallels". The system will begin creating and sending the parallels. A progress bar shows the status in real time:
When the process is complete, you will see a confirmation screen:
Viewing the Sent Parallels
Click "View parallels" or go back to the "Portal" tab. You will see all the newly created parallels listed, one per profile.
If you open any individual parallel, you will see it has been pre-filled with the information and documents from the Excel, including any secondary profile data such as UBOs.
Frequently Asked Questions
What happens if I forget to fill in a field in the Excel?
You can leave blank fields, the parallel will be created without that information and those will have to be filled out by the recipient of the parallel.
Can I add new UBOs or legal representatives not yet in the profiles?
Yes. In the corresponding tab, add a new row with the profile's Main Profile ID and fill in the new profile's details.
What if a document name in the Excel doesn't match the file I upload?
The system will flag the mismatch during validation. Make sure the filename in the Excel (including the extension) matches exactly what you are uploading.
