Hubspot is an advanced CRM for sales and marketing teams, but it can also help you move faster with tools such as Parallel in one place.
With this guide, we want to help you synchronize Parallel with your CRM and prevent your team from performing repetitive actions, such as creating a parallel when a deal changes status.
Here's how you can create a draft parallel when a deal is moved to a column/stage:
Preparing the integration
Before starting the integration, there is a previous task to perform in your Parallel account.
Add an internal field in the parallel template.
Select the parallel template you want to automate.
Create a Short replies field for the HubSpot deal Id.
Set it as an internal field.
Add a reference to the internal field. The reference will be used as the key of the results you get in Zapier.

Selecting Hubspot trigger
Create a new Zap.
In the trigger step, select Hubspot from within the apps.
Choose Updated Deal Stage as the triggering event.
Continue and select your account (follow these steps if you don't have a Hubspot account associated with Zapier).
Now in Set up trigger:
Deal Pipeline: Select the Hubspot Pipeline you want to trigger the parallel creation.
Deal Stage: Select the stage you want to trigger the creation of a parallel. For example: If you're going to create a parallel when the deal changes from "Decision maker bought-in" to "Contract sent", here you have to choose "Contract sent".
Additional properties to retrieve: (optional). If you want to enrich your parallel with additional information, you can select other properties from the deal, such as the deal name, the amount, etc., to include them later.
Test the trigger to confirm that it works.
Add Parallel action
Add an action and select Parallel.
Select the Create draft event.
Continue and select your account (you can associate a Parallel account using an API token if you don't have any associations yet).
Now in Set up action:
Template ID: Select the template you want to use to create your parallel. (Remember that you will need access to that template in your account).
Parallel name (optional): This is an optional field to include a name for the parallels created.
Tip: You can customize it with properties of the Hubspot Deal.Prefill replies by alias: Use this field to prefill the internal field created previously with the dealID in Hubspot.
In the first field, introduce the reference: In our case, dealID.
And in the second one, the reply for the field: In our case, the Deal ID.
Test the trigger and confirm that the parallel with the HubSpot dealID is created.
Now you can save your Zap and publish to create prefilled parallels when a Hubspot stage deal is updated!
Note: Adding the Hubspot Deal Id in the Parallel form allows you to perform other automation for the deal in the later stages of your sales process. For example, to log a Parallel event on Hubspot via Zapier. |
