How can I add, change or remove a signer?

What to do if you need to change who signs a parallel, before or after the signature request has been sent.

Recipients and signers are not the same

First, it helps to tell these two roles apart:

  • Recipient: the person who receives the parallel to fill it in. Recipients are managed from the Activity tab.

  • Signer: the person who signs the final document. Signers are managed from the signature box in the Review tab.

The same person can be both a recipient and a signer, but this isn’t required. If you want to change who signs, don’t do it from the Activity tab: adding or removing recipients doesn’t affect the signature.

Can I add a new signer?

  • If the signature hasn’t been sent yet: when you start the signature from the signature box in Review, you can add anyone as a signer by entering their name and email address.

  • If the signature has already been sent: you’ll need to cancel it and send it again with the new signer (see the next section).

Can I remove or change a signer once the signature is in progress?

You can’t remove or change a signer once the signing process has started, even if the other signers have already signed. In that case:

  1. Open the parallel and go to the Review tab.

  2. In the signature box, select Cancel.

  3. In the same box, click Add signature. The previous configuration will load with its signers.

  4. Add, remove or edit the signers you need.

  5. Click Start signature.

⚠️ Cancelling the signature starts a new process, so anyone who has already signed will need to sign again. The cancelled signature will remain available in the parallel for reference.

You’ll find more details in Activate electronic signature.
